State of Egnyte Fall 2026: Putting Business Context to Work for More Accurate, Secure AI

If your enterprise organization is increasingly relying on AI that can’t act on business context, you’re not alone. As enterprise businesses allow AI to take on more responsibility, they’re experiencing a major challenge: The requirements to ensure AI is accurate, reliable, and cost-effective increase significantly. Does AI have the right business context to deliver results people can trust? Can organizations control what agents can access and do? And can they bring AI into the tools and workflows employees already use without adding more complexity?

These challenges can't be solved by more powerful models alone. AI needs a richer understanding of the business, governance that keeps pace with its expanding capabilities, and practical ways to turn intelligence into action.

At State of Egnyte Fall 2026, we shared how we're bringing these capabilities together through contextual knowledge and adaptive intelligence. Just ask our customers. They’re using Context Studio, AI Control Center, task-based agents, connectors, and intelligent workflows to improve AI accuracy, lower costs, strengthen governance, and make AI a more useful part of everyday work.

Build Better Context for More Accurate, Cost-Efficient AI

AI can't understand a business from files alone. AI needs to understand the valuable relationships hidden in enterprise content to effectively interpret enterprise data and execute tasks correctly. It needs to find and identify a content file's owner, what project it belongs to, how it connects to other documents, what permissions govern access, which systems contain related information, how the business uses it, and how it changes over time. Yet despite all the time, effort, and budget they’ve invested in AI, 56% of enterprises say file classification and metadata tagging pose major obstacles to AI readiness. That’s why AI readiness starts with the foundation underneath the information.

Egnyte’s Context Layer addresses this challenge by continuously mapping the relationships across content, people, projects, metadata, permissions, and connected business systems. Context Layer gives AI connected business context that teams can draw on without having to reconstruct underlying relationships and permissions from scratch.

And, because businesses are constantly changing, that context can't stand still. Context Layer solves this challenge by helping AI avoid outdated or irrelevant information, respect permissions, and provide traceable answers. As projects progress, new information is created, and systems are updated, Egnyte continuously enriches the context available to AI.

Context Layer helps agents retrieve more relevant information, produce accurate results, and avoid unnecessary retrieval and token consumption, improving both AI performance and cost efficiency as AI usage grows.

Better Context Helps Agents Take Smarter Actions

Giving an AI agent access to more data doesn’t necessarily make it smarter.

A contract review agent, for example, needs the right contracts, counterparties, obligations, amendments, and business rules. Giving it access to everything can introduce unnecessary retrieval, higher costs, and less precise results. The goal isn’t to give every agent more information. It’s to give each agent the right context for its task.

That’s where Context Studio comes in. Built on the Egnyte Context Layer, Context Studio gives teams a visual way to understand, manage, and optimize the business context behind a specific agent or process.

Agent builders can inspect the content and relationships available to an agent, identify missing or incomplete context, and take guided steps to address gaps before they affect results. Rather than undertaking a complex, organization-wide data engineering project, your teams can focus on improving the context needed for the agents and processes that matter most to your organization.

And, as your organization’s business information changes, Egnyte's adaptive learning loop helps continuously improve both the context agents rely on and how effectively they use it.

More precise context also significantly increases AI’s efficiency.  We ran some preliminary tests that resulted in a 97% reduction in token usage and approximately 50% lower AI costs.

Combined with task-based agents available through the Egnyte AI Marketplace, Context Studio gives organizations a practical way to start with an industry-specific use case, tailor the agent to their needs, and improve the context behind its work.

Govern AI as Agents Take on More Work

As AI agents become more capable and embedded in business processes, they need broader, dynamic access to information. This creates a difficult challenge for IT teams: How do you give agents enough access to work effectively without unnecessarily exposing sensitive business information?

The governance gap is already significant. Only 13% of organizations say they have the right governance for AI agents, according to Gartner. By 2028, a typical Fortune 500 company could have more than 150,000 AI agents in use. At that scale, IT needs to understand what each agent can access, the actions it can take, where sensitive data may be exposed, and whether its activity complies with regulatory and internal requirements.

Egnyte applies multiple layers of control to the data AI accesses:

  • AI Safeguards enforce existing permissions and policies at the point of access, validating users’ ability to access AI and have sensitive data included in AI-generated responses.
  • Sensitive Content Protection identifies regulated and sensitive information.
  • Sensitive Data Masking helps prevent regulated and sensitive information from being exposed by AI.

AI Control Center builds on these controls by giving IT a single place to discover connected agents, understand what sensitive content each agent can access, and restrict or re-scope access when necessary. Admins can identify agents with excessive permissions, limit access to the folders needed for a specific task, and review access boundaries before agents go live.

Together, these controls help IT govern agent access, assess potential data exposure, and maintain a comprehensive auditable record of policy actions as AI scales across business processes.

Role-Based Control for AI Tools

When AI applications access business content, giving every user the same capabilities can create unnecessary security risks. Admins can now control which Egnyte tools are available to individual users or groups when they connect AI applications such as Claude, ChatGPT, or Microsoft Copilot through Egnyte MCP Server. Read tools provide access to content, while write tools allow actions such as uploading files, creating folders, or sharing links.

Admins can configure these controls in Settings, under AI-Powered Features and MCP Server. Restricted tools are hidden from the AI application and blocked by Egnyte MCP Server, helping organizations enforce least-privilege access and prevent unauthorized actions on sensitive content.

Bringing AI Into Workflows Turns Insight Into Action

Switching between apps to find information about past projects and tasks disrupts productivity.  Employees spend time searching emails, collaboration tools, business applications, and content repositories for accurate information. AI should be put to work, to quickly bring that information into workflows. Egnyte's AI Assistant helps people find answers, analyze information, create content, and take action using permission-aware AI grounded in their business content. With citations, memory, personalization, and model choice, it offers a more useful experience that can adapt to how people work.

AI Connectors extend the information available to the assistant by securely connecting approved applications such as Slack, Salesforce, Outlook, and Gmail. This gives people access to relevant information across systems without having to search each application separately, while maintaining controls over AI access and actions.

For Microsoft 365 users, Egnyte connects content to Copilot, Researcher, Cowork, Word, Excel, and PowerPoint, helping employees find information, complete multi-step tasks, and work with Egnyte content while co-editing.

Together, these integrations reduce the friction between finding information and putting it to use, helping employees get more value from the applications and content they already rely on.

Structured AI Workflows Make Repeatable Work More Consistent

When the same tasks are used across projects, employees shouldn’t need to start from scratch with AI every time. Many tasks, such as contract drafting, help requests, RFP intake, SOWs, and proposals, require the same information and steps. Asking users to continually refine prompts can lead to inconsistent results, and 82% of IT leaders say prompt engineering alone is no longer enough for production AI.

Egnyte Forms adds structure to these workflows. The agent creator defines the inputs needed for a task, and employees provide that information through a simple form rather than having to write detailed instructions each time. Those inputs flow directly into the agent, producing more consistent outputs across users and use cases.

This makes AI easier to use and more practical to scale. Instead of relying on every employee to become a prompt expert, organizations can build repeatable AI experiences around established business processes.

The Next AI Advantage: Putting Context, Control, and Workflows Together

If your AI agents are taking on more work, your organization needs more than just powerful models. They need accurate business context, controls that govern what AI can access and do, and workflows that make that intelligence useful in everyday work.

Egnyte brings these capabilities together: AI that understands and retrieves business content, safeguards that enforce existing permissions and protect sensitive data, connectors that bring AI into everyday applications, and structured workflows that turn repeatable processes into consistent actions.

With Context Studio, organizations can refine the business context behind their agents for more accurate, cost-efficient results. AI Control Center gives IT visibility into sensitive content exposure and the ability to manage agent access. And Egnyte's expanding integrations and AI workflows help employees put that intelligence to work across the applications and processes they already use.

For our customers, this means faster access to trusted information, more consistent outcomes, stronger control over AI, less manual work, and AI that’s easier to scale across the business without sacrificing security or governance.
